About this policy and scope

This document sets out the policy of English talks Online School (referred to as “we”, “us”, or “our”) regarding the collection, use, and protection of the personal data of users (referred to as “you” or “your”).

The data we collect (lawfulness and necessity)

We are committed to the principle of data minimisation, meaning we only collect data that is strictly necessary for the purposes of operating both our website and the VLE.

How we use your personal data

We will only use your personal data when the law allows us to. Most commonly, we use your data for the following:

· Website provision: to manage the technical function of the wordpress site and to measure performance (e.g., page visits).
· Course provision: to manage your access to the moodle vle, track your progress, issue certificates, and provide necessary technical support.
· Communication (marketing): to inform you about new courses and educational opportunities where you have given us explicit permission (consent) to do so on the moodle VLE.

Cookies and website tracking

Our wordpress site uses cookies to distinguish you from other users. Cookies are small text files placed on your device.

· Essential cookies: these are necessary for the website to function securely (e.g., remembering your cookie preference). We rely on legitimate interest for these.
· Analytics cookies: these help us understand how visitors use our site (e.g., which pages are most popular) so we can improve it. We will only use these if you provide explicit consent via our cookie banner.

You can manage your cookie preferences at any time through our cookie settings tool [link to your cookie settings/banner].

Consent and marketing communications

As the wordpress site is informational, we do not capture marketing consent here. This consent is captured separately and explicitly on the moodle vle registration page.

· Withdrawal of consent: you can withdraw consent for course updates at any time by updating your preferences directly within your moodle profile settings or using the unsubscribe link in the email/sms.

Data sharing (our ‘no third party’ guarantee)

We take our commitment not to share your data with third parties extremely seriously.

· No sharing for marketing: we will never sell, rent, or share your personal data with any third party for their own marketing purposes.
· Essential processors: we use certain essential service providers (data processors) to operate our website and vle. These providers only process data under our strict instructions. These include:
· Wordpress host: [name of your wordpress host] for hosting and maintaining the informational site.
· Hubken group: as the host of our moodle vle, they process data on our behalf for the technical delivery of the VLE.

We have contracts in place with all processors to ensure they meet the security and privacy standards required by gdpr.

International transfers and security

· Data location: your personal data is stored within the european economic area (eea).
· Security: we implement appropriate technical and organisational measures to protect your personal data on both the wordpress site and the moodle VLE.

Data retention and your legal rights

The retention of your data and your full legal rights (right of access, erasure, etc.) remain as outlined in the moodle vle policy. Please refer to the detailed sections of the full policy which are available to view [link to your full moodle policy if separate, or rely on this document].
